Getting Started
The Contacts section is your central hub for managing all customer data used in outbound calling campaigns. This powerful tool allows you to create and organize contact lists, upload customer information, and track engagement metrics across all your campaigns.
Whether you're running sales campaigns, customer surveys, or appointment reminders, the Contacts section provides the organizational structure and analytics you need to maximize the effectiveness of your voice campaigns.
Creating and Managing Contact Lists
Contact lists are the organizational backbone of your calling campaigns. They allow you to group contacts by campaign type, customer segment, geographic region, or any other criteria that makes sense for your business. This segmentation enables targeted messaging and more effective campaign management.
You can create multiple lists for different purposes - for example, separate lists for new prospects, existing customers, follow-up calls, or seasonal campaigns. Each list maintains its own analytics and can be used independently or combined for broader campaigns.
Create a new contact list:
- STEP 1 Click + Create a List at the top of the Contacts page.
- STEP 2 Enter a descriptive name for your new list (e.g., "Q1 Sales Prospects" or "Customer Feedback Survey").
- STEP 3 Confirm the creation. Your new list will appear in the table with analytics tracking ready to go.
- STEP 4 Click the list name to view or manage contacts within that list.
To edit or delete a list, use the menu (⋮) next to the list name. Important: Deleting a list will permanently remove all its contacts and associated data. Consider exporting your contacts before deletion if you need to preserve the data.
Uploading Contacts
Adding contacts to your lists is straightforward with our CSV upload system. The platform accepts standard CSV files and automatically validates phone numbers to ensure data quality. You can upload contacts in batches, making it easy to manage large contact databases.
The system supports custom fields, allowing you to include additional information like customer preferences, purchase history, or any other data relevant to your campaigns. This flexibility enables highly personalized calling experiences.
To upload contacts to a list:
- STEP 1 Navigate to the desired contact list or create a new one.
- STEP 2 Click + Add New Contacts in the toolbar or the upload button in the empty state.
- STEP 3 Select your CSV file (download our Sample CSV for reference).
- STEP 4 Review the upload preview to ensure data mapping is correct.
- STEP 5 Confirm the upload. The system will validate phone numbers and import your contacts.
Viewing and Editing Contacts
Each contact list displays its contacts in a comprehensive, searchable table that provides both overview and detailed information. The interface is designed for efficiency, allowing you to quickly find, edit phone numbers, and manage individual contacts or perform bulk operations.
The contact table includes real-time analytics showing call outcomes, engagement status, and response patterns. This data helps you understand which contacts are most responsive and optimize your calling strategy accordingly.
Key features available when viewing contacts:
- Edit Contact Details: Click the edit icon to modify phone numbers via the intuitive edit dialog.
- Individual Actions: Use the menu (⋮) to delete contacts, view call history, or perform other individual actions.
If a list has no contacts, you'll see a helpful empty state with clear options to upload new contacts or return to your lists. The interface guides you through the next steps to get started with your first contact upload.
Bulk Actions
Bulk actions enable efficient management of multiple contacts simultaneously, saving time and ensuring consistency across your contact database. These features are essential for maintaining clean, organized contact lists and extracting valuable data for analysis.
To use bulk actions, first select the contacts you want to work with using the checkboxes in the contact table. You can select individual contacts or use the "Select All" checkbox to work with the entire list.
Available bulk operations:
•Export to CSV: Download selected contacts with all their data and analytics for external analysis, backup, or integration with other systems.
•Delete Contacts: Remove multiple contacts from the list simultaneously. This action is permanent and cannot be undone, so use with caution.
Access bulk actions through the Bulk Actions dropdown in the toolbar. The system will show you how many contacts are selected and provide confirmation dialogs for destructive actions to prevent accidental data loss.
Best Practices for Contact Management:
Following these best practices will help you maintain high-quality contact data, improve campaign effectiveness, and ensure compliance with calling regulations. These guidelines are based on successful implementations and industry standards.
- Data Quality: Keep your contact lists up to date by regularly removing invalid numbers, updating contact information, and cleaning duplicate entries. High-quality data leads to better campaign performance.
- Segmentation Strategy: Use contact lists to segment contacts for targeted campaigns. Different customer segments often respond better to different messaging approaches.
- Analytics Monitoring: Regularly review engagement analytics to identify patterns, optimize your calling strategy, and understand which approaches work best for different contact types.
- Compliance Awareness: Ensure compliance with local regulations regarding outbound calls, including Do Not Call lists, calling hours, and required disclosures. This protects your business and maintains customer trust.
- Regular Maintenance: Schedule regular contact list maintenance to remove bounced numbers, update contact preferences, and archive inactive contacts to keep your lists lean and effective.
- Backup Strategy: Regularly export your contact data as backups and for integration with other business systems. This ensures data security and enables cross-platform analytics.
By implementing these best practices, you'll create a more efficient, compliant, and effective contact management system that supports successful outbound calling campaigns.
